This guide provides technical instructions for configuring the IUSign notification engine to align with your organizational communication standards and personal workflow requirements.

Prerequisites

  • Successful authentication into the IUSign portal.
  • Assigned role with access to profile management.

Strategic Overview

The IUSign notification system provides real-time visibility into document transactions, security events, and system updates. Users can customize their communication preferences across multiple channels (Email, In-App, and Webhooks) to ensure timely intervention while maintaining inbox hygiene. In an enterprise context, notifications are the primary mechanism for maintaining momentum in multi-recipient signing workflows.

Notification Categories and Triggers

Notifications are grouped into logical functional areas to allow for granular control over alert frequency:

1. Transactional (Envelope) Alerts

These alerts are triggered by specific events in the lifecycle of an envelope you have initiated:

Event TriggerFunctional DescriptionRecommended Status
Envelope SentConfirmation of successful cryptographic dispatch.Enabled
Envelope SignedRecipient has successfully executed a signature.Enabled
Envelope CompletedAll recipients have finalized the document.Enabled
Envelope DeclinedA recipient has formally refused the transaction.Enabled
Envelope VoidedThe document has been manually invalidated.Enabled

2. Signing and Engagement Notifications

Notifications related to documents where you are a recipient or participant:

Event TriggerFunctional DescriptionRecommended Status
Signing RequestInvitation to review and execute a document.Enabled
Signing ReminderAutomated nudge for pending signatures.Enabled
Execution ConfirmationForensic record of your signature submission.Enabled

Communication Channels and Delivery Modes

Multi-Channel Support

  • Email (SMTP): Standard delivery to your registered inbox using secure SMTP protocols.
  • In-App Alerts (Growth+): Real-time notification bell within the dashboard for immediate situational awareness.
  • Webhook Integration (Enterprise): Programmatic delivery of JSON payloads to your internal servers for automated workflow triggering.

Temporal Aggregation (Digests)

To mitigate notification fatigue, IUSign supports temporal aggregation:

  • Daily Digest: Receive a single comprehensive summary of all activity at the conclusion of the business day (UTC).
  • Weekly Executive Report: A high-level summary of all organizational activity delivered every Monday morning.

Advanced Preference Governance

Temporal "Quiet Hours" (Growth+)

Users on premium tiers may define specific "Quiet Hours" to suppress non-critical communication during off-business hours. Notifications triggered during this window are queued and dispatched at the start of the next active period.

Forensic Security Alerts

[!IMPORTANT] Critical security notifications—such as password modifications, 2FA changes, and new device logins—cannot be disabled. These are mandated for all users to ensure the integrity of the enterprise environment.
