Strategic Overview

Creating a Public Link allows you to transform a static document template into a dynamic, accessible signing portal. By generating a permanent URL, you eliminate the administrative overhead of manually inviting individual recipients for repeatable, high-volume transactions. This protocol is the foundation for automated self-service signing workflows, providing a professional and scalable solution for organizational data collection and agreement execution.


Implementation Sequence

1. Template Selection and Role Alignment

Navigate to the Public Links module in the primary sidebar. Select Create Link to initialize the generation wizard.

  1. Select Template: Choose the source template that contains the document assets and field mappings.
  2. Role Mapping: Assign the public user to a specific role defined in the template (e.g., "Signer" or "Participant").
  3. CC Assignments: Optionally define internal stakeholders (e.g., legal@acme.com) who should receive a carbon copy of every completed transaction initiated via this link.

2. Security and Access Configuration

Configure the governance parameters for the link:

  • Link Expiration: Define a specific date or interaction limit (e.g., "1000 signatures") after which the link will automatically deactivate.
  • Identity Verification: Enable mandatory email verification (OTP) to ensure that anonymous users are bound to a valid email identity.
  • Access Code (Optional): Require a shared secret to enter the public portal, adding a layer of security for semi-private distributions.

3. URL Generation and Deployment

Upon finalization, the platform generates a unique, permanent URL.

  • Integration Options: You can copy the raw URL, utilize the provided HTML snippet for button embedding, or download a high-resolution QR code for physical distribution.
  • Branding: Ensure your White-Label Settings are active so that the public portal reflects your corporate identity.

  • Data Aggregation: All documents completed via a specific public link are automatically tagged with the link's unique ID for simplified reporting and filtering.
