This guide provides technical instructions for document creators who need to execute their own signature on an envelope immediately during the creation phase.
Prerequisites
- Successful initialization of an envelope and asset ingestion.
- The creator must be assigned as a recipient with the role "Needs to Sign."
Strategic Overview
In many business workflows, the individual who initializes a transaction is also one of the required signatories (e.g., an executive sending a contract that they have already approved). To maximize operational efficiency, IUSign provides an Immediate Execution (Sign Now) protocol. This allows the creator to fulfill their signing requirements immediately after dispatch, without needing to wait for an email invitation or navigate through multiple interfaces. This streamlined approach reduces turnaround time and ensures that the document is ready for the next participant in the routing order instantaneously.
Implementation Sequence
1. Recipient Configuration
During the envelope creation phase, add yourself as a recipient.
- Input your own Name and Email address.
- Assign yourself the Needs to Sign role.
- Place your signature and data fields on the document assets.
2. Initialization of Immediate Execution
Upon selecting Send Envelope, the platform detects that you (the authenticated creator) are the first (or a parallel) recipient in the routing order.
- The "Sign Now" Prompt: A dialogue will appear asking if you wish to sign the document immediately.
- Portal Redirection: Selecting "Sign Now" bypasses the SMTP invitation and redirects you directly into the Secure Signing Portal.
3. Execution and Submission
Proceed through the document as a standard recipient:
- Adopt Signature: Draw, Type, or Upload your signature asset.
- Complete Fields: Execute all mandatory requirements.
- Finalize: Select Finish. The envelope is then automatically dispatched to the next recipient in the Routing Order.
Data Integrity and Forensic Outcome
| Component | Forensic Result |
|---|---|
| Audit Log | Records the signature as an INTERNAL_SIGNATURE_EXECUTION event. |
| Identity Verification | Authenticated via your active IUSign session (SSO/MFA). |
| Workflow Advancement | Instantaneous transition to the next state in the transaction lifecycle. |
Strategic Considerations for Creators
- Efficiency: Utilizing "Sign Now" eliminates the need to monitor your inbox for an invitation to sign your own document.
- Review Persistence: Even if you choose to "Sign Later," you can always find the envelope in your Waiting for Me folder within the document repository.
- Authentication Rigor: Because you are already authenticated into the IUSign portal, the identity verification for "Sign Now" is exceptionally high, further strengthening the defensibility of the audit trail.
Diagnostic and Resolution Protocols
| System Exception | Probable Cause | Resolution Protocol |
|---|---|---|
| "Sign Now" prompt missing | Routing order logic | Ensure you are assigned to Order 1 in the routing sequence. If you are Order 2, you must wait for the first person to sign. |
| Email mismatch | Identity conflict | Ensure the email address you entered for yourself exactly matches the email of your authenticated IUSign account. |
| Accidentally clicked "Sign Later" | Navigation error | Locate the envelope in your Documents list under the Waiting for Me filter to initiate the signing session. |
